1.
To enclose a letter of project approval issued by HEP (student) or head of department (staff) with the application.
2.
Number of passengers should not exceed the bus capacity. (38 & 42 seater for booking outside Klang valley)
3.
The earliest reservations can be made is 1 month or not less than 7 days before using the bus service.
4.
Approval of the booking is subject to the availability of the vehicles and drivers.
5.
HEPA may cancel any reservations which have been approved.
6.
It is compulsory for applicants (staffs) to purchase a group life insurance for their passengers.
7.
Any toll and parking fees incurred during the use of the bus are to be borne by the applicant and need to be prepare before departure.
8.
Reservations are only made for weekends, holidays, semester breaks or on weekdays from 7.00 pm to 12.00 pm. (to prevent from affect shuttle services).
9.
An additional 30% of the actual total cost or amount agreed by the HEPA officer shall be imposed for any cancellation done 3 days or less before the departure date.
10.
Payment by cash is to be made in full at the Office of Treasurer before using the bus service. A copy of the receipt should be submitted to the HEP Transportation Unit. If payment is charged to a departmental account, use the HEP 225/90 form which has been approved by the head of the department then submit the completed form to HEP after booking approved. HEP may cancel bus booking if applicants fail to pay or summit HEP 225/90 form before departure date.

1.
Melampirkan bersama permohonan surat kelulusan kegiatan yang dikeluarkan oleh HEPA (bagi pelajar) dan ketua jabatan (bagi kakitangan).
2.
Bilangan penumpang tidak melebihi kapasiti bas. (38 & 42 tempat duduk bagi tempahan luar dari lembah Klang).
3.
Tempahan boleh dibuat seawal 1 bulan atau tidak kurang dari 7 hari sebelum dari tarikh penggunaan bas.
4.
Kelulusan tempahan kenderaan adalah tertakluk kepada kekosongan kenderaan dan pemandu.
5.
HEP boleh menarik balik mana-mana tempahan yang telah diluluskan.
6.
Penempah (kakitangan) wajib membeli insurans nyawa sebagai perlindungan ke atas penumpang.
7.
Bayaran tol dan parking semasa penggunaan bas adalah tanggungan penempah dan perlu disediakan sebelum bas bertolak.
8.
Tempahan hanya boleh dibuat untuk hujung minggu, cuti am, cuti semester atau pada hari biasa mulai jam 7.00 malam sehingga 12.00 malam. (supaya tidak menjejaskan perkhidmatan ‘shuttle’).
9.
Pembatalan tempahan bas yang dilakukan kurang dari 3 hari dari tarikh penggunaan akan dikenakan caj 30% daripada jumlah kos sebenar yang dipersetujui atau sebagaimana yang telah dipersetujui oleh pegawai HEP.
10.
Pembayaran secara tunai hendaklah dibayar penuh di pejabat Bendahari sebelum penggunaan bas. Salinan resit tersebut hendaklah diserahkan ke Unit Pengangkutan HEP. Jika melalui potongan akaun jabatan bagi PTj, borang HEP 225/90 yang telah disahkan oleh ketua jabatan hendaklah dikembalikan kepada HEP sebaik sahaja permohonan diluluskan. HEP boleh membatalkan tempahan sekiranya penempah gagal membuat pembayaran atau menghantar borang HEP 225/90 sebelum tarikh penggunaan bas.
